Configure pricing by location and schedule Special Pricing
GPay machine prices are controlled through profiles assigned to machines. A location can have different regular prices from other locations without using Account Promotions or Special Pricing.
Choose the correct pricing feature
- Use a location-specific Pricing profile when regular machine prices should always be different at one location.
- Use Special Pricing when prices should change during selected days or times, such as happy hour, weekday discounts, weekend pricing, or peak pricing.
- Use Account > Promotions for account-level programs such as discounts, loyalty, or free-vend campaigns. Account promotions can affect every location under the account.
How profile scope works
Profiles are assigned to machines. They are not automatically limited to one location.
Shared-profile warning: If one Pricing profile is assigned to machines at several locations, editing that profile changes source configuration for every assigned machine. To isolate a price change to one location, clone or create a Pricing profile and assign it only to machines at that location.
Machine types can require different Pricing profiles. Washer/dryer stacks can also require separate washer and dryer pricing profiles.
Check whether a profile is shared
- Open customer.
- Open Profiles.
- Select Pricing.
- For each profile you plan to change, select Assigned (compass icon).
- Review machines and locations listed under Profile assigned to.
If profile appears at another location, do not edit it for a location-only change. Clone it first and give clone a clear location-specific name, such as Downtown Washer Pricing.
Set different regular prices for one location
Special Pricing is not required when location only needs different everyday prices.
- Identify target location and machine types.
- Open Profiles > Pricing.
- Check assignments for existing Pricing profiles.
- Clone each shared Pricing profile that must differ at target location.
- Name each clone with location and machine type.
- Change regular or base vend, cycle, option, and top-off prices exposed by that machine profile.
- Save profile.
- Open target Location > Machines.
- Select machines of one type, then choose Modify Profiles.
- Assign location-specific Pricing profile and select Save Profiles.
- Repeat for each machine type.
- Open Location > Room Control > Pricing Update.
- Select affected machines and choose Request Setup. Next phone interaction sends setup to device.
Existing Machine Settings and Operation Settings profiles can remain shared when machine behavior and operating schedule are unchanged.
Add scheduled Special Pricing
Special Pricing adds alternate price levels that become active during selected days or times. Common uses include:
- Happy-hour discounts during slow periods.
- Weekday or midweek discounts.
- Weekend pricing.
- Peak pricing during high-demand periods.
- Scheduled resident, student, or employee pricing windows.
- Recurring promotional pricing without an account-wide promotion.
Exact fields depend on machine manufacturer, controller, and profile type:
- Pricing normally contains alternate amounts and controls such as Enable Special 1, Enable Special 2, or Enable Special 3.
- Operation Settings may contain Special Pricing Schedule, a weekly grid that maps each hour to Regular, Special 1, Special 2, or Special 3.
- Some machine-specific Pricing profiles contain their own Special Times day and time selection. For those profiles, both alternate price and schedule are configured under Pricing.
- Machine Settings normally controls cycle and controller behavior, not price amounts or pricing schedules. Leave it unchanged unless selected machine profile explicitly places a required Special Pricing control there.
When using Special Pricing Schedule:
Rmeans Regular pricing.1,2, and3select corresponding special price level.- Clicking schedule cell cycles through
R,1,2, and3.
To keep Special Pricing limited to one location, use a location-specific Pricing profile. If schedule must also differ, clone Operation Settings profile and assign both clones only to target machines.

Different regular prices only
- Create location-specific Pricing profiles.
- Keep Machine Settings shared.
- Keep Operation Settings shared.
Different regular prices and scheduled Special Pricing
- Create location-specific Pricing profiles containing regular and alternate prices.
- Create location-specific Operation Settings profile when schedule is stored there and differs from other locations.
- Keep Machine Settings shared unless machine behavior also differs.
Always confirm Assigned list contains only intended machines before editing location-specific profile later.
Apply setup and validate
Saving profile creates a new profile version but does not guarantee device has received setup.
- Confirm setup request no longer shows Pending.
- Confirm affected machines show expected profile assignments.
- Test one washer and one dryer at target location.
- Verify regular prices.
- When Special Pricing is configured, test during special period and verify return to regular pricing outside that period.
- Verify any Account Promotion is not also changing customer charge unexpectedly.
If deployment does not show Pricing Update or Request Setup, use GPay admin setup/pairing workflow for that device generation. Published GPay and GPay PLUS quick-start guides instruct operators to pair machines again after profile changes.
Quick decision guide
- Need permanently different prices at one location? Use location-specific Pricing profiles.
- Need prices to change by day or time? Add Special Pricing, using Pricing plus Operation Settings when schedule is stored there.
- Need account-wide discount, loyalty, or free-vend campaign? Use Account > Promotions.
